The Receptionist serves Clinicas visitors and employees by greeting, welcoming, and directing them appropriately. Provides information to inquiries from callers, visitors, and other parties regarding the organization. Performs routine clerical and administrative functions in support of the unit/department/corporation. Interacts with a multi-cultural population of diverse socioeconomic backgrounds, levels of education and ages. The Receptionist’s supervisor will vary based on the department being supported.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
The Receptionist is responsible for performing some or all of the following duties:
- Greets persons entering establishment, determines nature and purpose of visit, and directs or escort them to specific destinations.
- Answers telephones, screens and directs calls to appropriate individuals.
- Performs administrative support tasks, composes correspondence, email, memos, etc.
- Manages meeting room reservations.
- Keeps clean and safe reception area and employee break rooms
- Schedules and coordinates meetings. Takes minutes when required.
- Coordinates monthly reception and mail coverage calendar.
- Processes outgoing mail and delivers to post office. Updates postage log.
- Sorts and distributes internal and external mail.
- Receives and logs all deliveries.
- Monitors timekeeping kiosks and submits maintenance tickets when necessary.
- Submits repair service requests.
- Maintains organization and neat appearance of reception area and employee break room.
- Maintains inventory of office supplies.
- Orders materials, supplies, and equipment.
- Responds to customer problems or complaints and/or delegates to the appropriate manager.
- Interacts in a professional manner and works collaboratively with Clinicas’ staff, patients and visitors.
- Provides excellent customer service to all visitors and callers.
- Performs other duties as assigned including participation in all safety programs which may include assignment to an emergency response team.
Finance Specific:
- Prepares monthly finance and phone coverage rotation calendars.
- Organizes daily deposit slips and credit card slips
- Verifies pre-paid postage balance and prepares check request to replenish funds as necessary.
- Organizes and coordinates finance reports.
- Assists with copying all monthly finance reports, such as financial statements.
- Prepares monthly billing report.
- Makes periodic special trips to bank, credit union, post office, and etc.
- Assists the Finance Staff in completing special projects and clerical duties.
- Filing
- High school diploma or equivalent is required.
- Two years of experience as a Receptionist or similar role.
- Must be bilingual in English and Spanish.
- Must have dedication to team work and the ability to deliver exceptional customer service.
- Must have strong communication skills and be effective at multi-tasking
- Proficient computer skills and knowledge of MS Office and other office programs.
- Must possess a valid driver’s license.
