The Lead Referral Coordinator provides support to the Referral Center Manager (RCM) with the daily operation of the unit and assists with the oversight of the referral center during the absence of the RCM. The Lead Referral Coordinator works under the supervision of and reports to the Referral Center Manager.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
The Lead Referral Coordinator may be responsible for performing some or all of the following duties:
- Serves as liaison and resource for Referral Center staff.
- Maintains provider relations. Troubleshoots issues and concerns related to, or from, Specialty/Diagnostic Providers.
- Assists in the training of new Referral Coordinators and other Referral Centers staff.
- Maintains, monitors, and edits Provider distribution list.
- Monitors productivity of Referral Coordinators.
- Generates productivity, status and other reports on a weekly and monthly basis, or as needed.
- Assists with monthly staff meeting preparation. May present on topics such as process changes, updates, company policies, etc.
- Coordinates Referral Coordinators’ schedules.
- Audits Referral Coordinator customer service calls for quality and accuracy. Conducts necessary follow up in the form of reinforcement, coaching, training and discipline when needed.
- Assists the RCM with timecard approvals and requests for time off as needed.
- Assists with writing and presenting of performance evaluations.
- With guidance from RCM, addresses performance and other disciplinary matters as needed.
- Provides excellent customer service to patients, vendors and employees.
- Interacts in a professional manner and works collaboratively Clinicas’ staff, departments, and patients.
- May be assigned duties as a Referral Coordinator including permanent assignment of referral orders according to business needs.
- May assist patients with mental illness, substance abuse problems and or/emotional disturbance.
- Performs other duties as assigned, including participation in all safety programs which may include assignment to an emergency response team.

EDUCATION, EXPERIENCE AND QUALIFICATIONS
- High school diploma or equivalent required; Associate’s Degree (AA or AS) or Bachelor’s Degree (BA or BS) is preferred.
- Three (3) years of medical office experience.
- Minimum of one (1) year as a referral care coordinator or equivalent.
- Demonstrated ability to supervise, train and lead staff.
- Demonstrated ability to effectively collaborate with other departments.
- Organized and able to manage competing priorities.
- Track record of making effective decisions using good judgment.
- Resourcefulness in problem solving.
- Able to take accountability and follow through with delegated tasks.
- Proficiency with use of computers and basic programs is required.
- Must be able to communicate professionally and effectively in writing and verbally; accurate spelling and grammar.
- Ability to work in a fast-paced environment and proactively analyze and resolve problems.
- Bilingual English/Spanish is required; ability to speak, read and write.
- Must have reliable transportation.
