Duties
JOB OBJECTIVE
The Onboarding Specialist position will be responsible for assisting new employees as they join the company and help them learn policies, explain duties, plan to join dates, and complete the necessary paperwork after getting relevant signatures. This will include Pre-Onboarding, Onboarding, and Post Onboarding duties as described below.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Subject matter expert for Clinicas onboarding.
- Promote an enjoyable onboarding experience for new hires by providing guidance thru clear communication and timely responses.
- Manages pre-employment process; works with HR Team members and hiring managers to schedule new hire orientation and training.
- Looks for opportunities to streamline and improve recruitment processes.
- Monitor progress of background check, Drug Test, Physical Exam and TB Test.
- Route completed backgrounds for manager review.
- Collect and review necessary onboarding documentation for completeness.
- Informing candidates of deadlines for submitting onboarding documentation to ensure a timely start date.
- Notify all applicable departments (Hiring Managers, IT, HR etc.) via New Hire email of completed new hires.
- Maintain New Hire report up to date with candidate status.
- Logging and tracking of required certificates for new hires (ex. Infection Control, Dental Practice Act, etc.)
- Perform DMV Pull Notice; follow up with employees and managers on problem reports.
- I-9 Tracking; Checking for upcoming expirations. Following up with employees and managers when needed.
- Track referral bonuses for hourly staff; Initiate PAF and submit to Payroll Dept.
- Send email reservations to IT.
- Submit badge requests.
Create Pre-employment and New hire packets.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- High school diploma or equivalent. Two years’ experience in a human resources environment.
- Knowledge of state and federal employment law.
- Problem-solving skills.
- Superb presentation skills.
- Conflict-management ability to help settle possible employee complaints.
- Passion for teamwork and mentorship ability.
- Ability to maintain confidentiality.
- Good planning and time management skills
- Ability to empathize with the needs of the new employees, and guide them accordingly
- Understanding the usage of Microsoft Office applications including MS Word, and MS PowerPoint.
