Duties

The Surgery Scheduler is essential in coordinating medically appropriate surgery services for Clinicas Del Camino Real, Inc.’s (Clinicas) patients. Patients’ needs, including the need for surgery at a hospital facility, are identified by the Clinicas clinician and processed through an established surgery referral system. The Surgery Scheduler is responsible for initiating and expediting the administrative requirements for surgery referrals ensuring they are scheduled at participating hospitals within the patients’ health plan, obtaining and securing surgery time slots and notifying the patient/member, providers and supportive help of the surgery. The Surgery Scheduler acts as a resource regarding surgery referrals and insurance plan guidelines. Work situation requires an ability to interpret medical guidelines, benefits, polices, and procedure in support of the objective to expedite the surgery referral process. The Surgery Scheduler interacts with a multi-cultural population of diverse socioeconomic backgrounds, levels of education and ages.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

The Surgery Scheduler may be responsible for performing some or all of the following duties:

· Obtains inpatient/outpatient insurance authorization.

· Confirms payment was received for self-pay patients.

· Schedules pre-op visits with OB\GYN, medical clearance with PCP and post-op appointments with OB\GYN.

· Schedules inpatient and outpatient elective surgical procedures (URGENT and routine requests)

· Schedules cesarean sections.

· Obtains registration numbers from hospital.

· Obtains assistant surgeon when needed (internal and external providers).

· Manages surgical calendar.

· Confirms blocks were added to clinic schedule (when surgery will interfere with office hours).

· Faxes pre-op paperwork to hospital.

· Faxes prenatal records to hospital for C-sections.

· Obtains operative notes from hospital.

· Contacts patients to provide all appointments and basic surgery instructions.

· Coordinates request for assistance from outside providers.

Requirements

EDUCATION, EXPERIENCE AND QUALIFICATIONS

· High school diploma or equivalent required.

· Must have a minimum of one (1) year of experience as a referral care coordinator or equivalent.

· Two years’ work experience in a medical environment is preferred.

· Knowledge and understanding of medical terminology, critical thinking and problem solving required.

· Bilingual English/Spanish is required; ability to speak, read and write.

· Organized and able to manage competing priorities.

· Resourcefulness in problem solving.

· Must be able to communicate professionally and effectively in writing and verbally; accurate spelling and grammar.

· Proficiency with use of computers and basic programs, including proficiency in MS Word required.

· Demonstrated ability to effectively collaborate with other departments, clinic staff, and surgeons.

· Able to take accountability and follow through with delegated tasks.

· Must have reliable transportation.
